Approve/Reject Electronic Requests
IN THIS ARTICLE:
Email notifications are only sent to Approvers and Requestors if the facility that they are requesting for is NOT a Depot location, i.e., the facility does not manage their inventory using OpenBoxes and uses the system only to submit E-Requests.
Request List Page to access the E-Request
An Approver can access the Request List Page by multiple ways:
Log into the Fulfilling Depot location, click on the Open Stock Request Dashboard Indicator. This will load the Request List Page.
Log into the Fulfilling Depot location, on the Top Menu Bar, click on Outbound > Click on List Requests.
If you are Approving a request for a non-depot location (Ward, Pharmacy, or Dispensary), you will receive an email notification after the Requestor submits the e-request for approval.
In the email subject, the Requisition ID is present (here, 597NDZ), and the Requisition name at the end of the subject (here "SampleSurgicalRequest").
You can also review the items in the e-request, the UoM (unit of measure), and the Requested quantities. Click on the "here" hyperlink to go to the Request List Page.
Approve/Reject E-Request
In the Request List Page, look for the E-request in the table OR type the Requisition ID (here, 597NDZ) in the Search bar and hit Enter on your keyboard.
Notice the status for this e-request is "Waiting for Approval."
- You can act on this E-request through the Request List Page itself or through the Request View Page.
Request List Page
- On the left-hand side of the table, click on the three dots. Click on either Approve or Reject.
Request View Page
- On the Request List Page, click on the Name or Identifier hyperlink, which will take you to the Request View Page.
- On the Request View Page, click on either Approve or Reject.
If you Reject the e-request, you must enter a Comment on why you are rejecting the e-request.
The Requestor will receive an email notification with the comment you enter. This Rejection comment is also visible on the Requestor Dashboard.
- Then, the Requestor can make the necessary updates to the E-Request and submit it for approval again.
Add a Comment
Before you Approve or Reject an E-Request, you can also add a comment. Comment triggers an email notification to the Requestor.
On the Request View Page, click on the "Add Comment".
On the "Add Comment" page, select the user you want to notify of the comment, add the comment, and hit Save.
All users can now view the comment in the view page.
